How to split an archive email file

Hello,

I am using Outlook 2003 My achived file is too big-- " has reached the maximum size", I am trying to split it base on the date--- say: archive_2006, archive_2007...

Is there any way that I can archive the archived folder ?-- just like we are perform the "first time archive" set up by date ?

BTW, I know I could create a new archive file and manually move the email around but it just too much work. I am looking for a smart way to do it.

Hello

Yes, you can archive an archive.

Here are the basic steps within Outlook 2007, may be slightly different for other versions.

From the File menu select New < Outlook Data File. Name it something like "archive_2006".

Then, in the Mail pane in Outlook select the current "Archive Folders" item.

Now, from the File menu select "Archive".
- In the dialog that displays the "Archives Folder" item in the top should be preselected.
- Change the value of "Archive items older than" to the appropriate date (in this case 1-1-07 for 2006 data)
- Click the "Browse" button for the archive file and select the file you made above: "archive_2006"

Once you click OK, the items in your "current" archive that are older than the specified date will be moved to the new archive file.

One word of caution: If you use the archive option fro the File menu for items in your Mailbox be sure to set the archive file location back to your "current" archive folder. Otherwise, when you do an archive of current data it will go to your 2006 archive (or the last one you used in this manner).

I'm not the person that asked this, but surely most of the people figure it out this far. The problem is that when trying this, only the folders are archived, but NOT their contents....

Some more info, googled this from the net:

"Modified Date

Archiving works based on the modified date of an item. The modified date of an item can be viewed by opening the item and then choose File-> Properties. The item will only be archived when the modified date of the item is older than the date set for archiving. Actions that can cause the modified date to change are;
reply
reply to all
forward
move to another folder
editing
saving
importing

In some cases (depending on the tools being used) scanning the item by for instance a virus scanner, anti-spam filter or synchronisation software can also cause the modified date to be changed."

In addition to this just opening the mail item changed the modified date, especially in mails formatted as HTML. I checked several mail items and their modified dates and they varied between 2004 - present without any logical pattern. Maybe I have just opened these mails afterwards several times each time causing change in modified date.

Well, in the end of the day this is more than enough to make this File/Archive rhing absolutely useless.

Any other suggestions ?

There is a way you can do this with Novell Groupwise.

I suggest you switch to Groupwise ASAP
